AI customer service
AI Customer Service and Support Agents for Small Businesses
An AI customer service agent answers routine questions on chat, email, WhatsApp, SMS and the phone using your own information, sorts and drafts replies in your helpdesk, and hands anything tricky to your team with the full context. Agentyra builds, tests and runs them for clinics, law firms, home-service companies, agencies and local retailers.
Fast answers. Real people when it matters.
What is AI customer service?
AI customer service uses AI agents to answer customers' questions and handle routine requests on your behalf, on the channels they already use. A good support agent answers from your own information, takes simple actions like checking a booking, and passes anything it can't handle to a person.
It is different from an old scripted chatbot that can only match keywords. An AI support agent understands the question in plain language, works in your tools and knows its limits. If you are new to the idea, our guide to what an AI agent is covers the basics.
What can an AI support agent handle?
The repetitive questions and requests that fill your inbox every day, on every channel your customers use. Each channel has a defined point where a person takes over.
| Channel | What the agent does | Hands off to your team when |
|---|---|---|
| Website chat | Answers questions about services, hours, policies and pricing you've published | The answer isn't in your information |
| Email inbox | Replies to routine emails or drafts answers for your team to approve | The email is a complaint or needs a decision |
| WhatsApp, SMS and social messages | Answers the same questions where customers message you | The customer asks for a person |
| Helpdesk tickets | Sorts, tags and prioritizes tickets and drafts first replies | The ticket is urgent or sensitive |
| Bookings and orders | Checks status, confirms details and handles simple changes | A refund, cancellation or payment is involved |
| Phone | Answers support calls (see AI call agents) | The caller is upset or the issue is complex |
Your team gets a summary of every conversation, so nothing depends on someone remembering to pass on a message.
Do customers actually want AI customer service?
Customers want fast, correct answers, and they don't want to be trapped with a bot. That is why the way you use AI matters more than whether you use it.
A Gartner survey found that 64% of customers would prefer companies didn't use AI for customer service, and that their top concern is that it will become harder to reach a person. Gartner's advice is for AI to "connect them to an agent in the event that the AI cannot provide a solution."
We build every support agent around that concern: it answers quickly when it can, says so when it can't, and makes reaching a person easy at every step.
When should a person take over?
Whenever money, emotion or judgment is involved: refunds, cancellations, payments, complaints, anything sensitive, or a customer who asks for a person. The agent also hands over when it fails to understand a request more than once.
This follows OpenAI's practical guide to building agents, which recommends a human intervention mechanism that "allows the agent to gracefully transfer control when it can't complete a task," especially after repeated failures and before high-risk actions such as refunds or payments. We write these rules down with you before we build.
How does the agent know the right answers?
It answers only from information you give it: your FAQs, policies, service and pricing pages, past replies and booking or order systems. If the answer isn't there, it says so and hands over instead of guessing.
We test it against real questions from your inbox before launch, and we update its information whenever your policies or services change.
Will it work with your helpdesk and inbox?
Usually, yes. The agent works inside the inbox, helpdesk and messaging tools you already use, such as Gmail or Outlook, Zendesk, Freshdesk or Gorgias, and WhatsApp Business, so your team keeps working where they work today.
Every setup is built around your tools, not a fixed list of integrations. If something won't connect cleanly, we tell you on the strategy call, before you commit to anything.
How much does AI customer service cost, and how long does it take to set up?
It depends on your channels, your tools and how much your agent needs to know, so every project is scoped after a free strategy call. You get the scope, cost and timeline in writing before any work starts.
A focused first agent, such as answering your most common questions on website chat or email, is usually the quickest place to start.
How does Agentyra launch an AI support agent?
In four steps, and you approve how the agent behaves before it talks to a single real customer.
- Discover. A free call to find which questions take up your team's time and on which channels.
- Design. We gather your information, write the tone and the rules, and decide exactly when it hands off to a person.
- Build and test. We connect your inbox, helpdesk and messaging tools and test the agent against real past questions.
- Launch and improve. It goes live on one channel first, we review conversations and keep tuning before adding the next.
